Administrative Assistant (part-time position)

Looking for: Part-time (flexible schedule) administrative assistant. 

Responsibilities:

  • Be in charge of all office management and administrative tasks including but not limited to office upkeep and ordering of office and shipping supplies, booking appointments and meetings, mailing, and assisting others with miscellaneous tasks on an ad hoc basis
  • Follow up with retailers to ensure payment has been made on time
  • Oversee and manage all domestic and international shipments to customers and retailers
  • Help with packing wholesale orders on an as needed basis
  • Conduct weekly product inventory checks to ensure there is enough units of each SKU at all times
  • Forecast and order supplies (including labels, packaging, and raw materials) regularly
  • Professionally handle all inbound communications via email and social media to ensure customers with issues, concerns, or questions are resolved both promptly and thoroughly
  • Follow up with customers, provide feedback and see problems through to resolution
  • Demonstrate critical thinking and good judgement in coming up with solutions to resolve customer inquiries and ensuring 100% customer satisfaction
  • Create a positive and personalized experience by assisting customers with purchasing the perfect products suited for their particular skin type. Implement up-selling procedures where appropriate
  • Support sales growth by educating customers on our affiliate program
  • Continuously evaluate and identify opportunities to drive process improvement that positively impacts the customer's experience
  • Share relevant customer feedback and strategic insights with our other team members regarding overall customer experience and service-related trends

Preferred Knowledge/Skills:

  • Passion for natural skincare industry
  • Strong organizational skills
  • 2+ years of experience in a customer service or administrative assistant capacity
  • E-commerce work experience is a plus
  • Exceptional email and chat etiquette with strong attention to detail including grammar and spelling
  • Passion for problem-solving and helping others comes naturally to you
  • Proactively anticipate customer needs and can adapt your tone and approach to fit a diverse range of customer personalities and situations
  • Genuinely enjoy connecting with others and function well as part of a small (team of 4) but growing team
  • Ability to wear several different hats in a small business environment
  • Knowledge of Gmail, Excel, Powerpoint, and Google Drive
  • Strong English writing skills a must. French speakers are a plus!
  • Access to a laptop is ideal but not mandatory
